17. AEM Asset Management

Adobe Experience Manager (AEM) Asset Management is a crucial component of AEM, enabling users to efficiently store, organize, and manage digital assets such as images, videos, documents, and more. In this tutorial, we'll delve into AEM Asset Management, covering various aspects, and provide examples where applicable.

Prerequisites:

Before you begin with AEM Asset Management, ensure you have the following:

  • Access to AEM: You need access to an AEM instance, either hosted on your local machine or a remote server.

  • User Account: Make sure you have a user account with the necessary permissions to manage assets in AEM.

Step 1: Logging into AEM

  • Open your web browser and navigate to the AEM instance URL. Typically, the URL is something like 'http://localhost:4502' or your organization's specific AEM URL.

  • Log in using your username and password.

Step 2: Accessing the AEM Asset Management Console

After successfully logging in, you'll be taken to the AEM authoring environment. To access the Asset Management Console:

  • Click on the "Assets" tab in the top menu. This will open the Asset Management Console, where you can manage digital assets.

Step 3: Uploading Digital Assets

Let's start by uploading a new image to the Asset Management Console.

  • In the Asset Management Console, navigate to the folder where you want to upload your image.

  • Click the "Upload" button. You can either drag and drop files or browse your computer to select the image file you want to upload.

  • After selecting the image, click "Open" or the equivalent button to start the upload process.

  • Once the upload is complete, the image will appear in the folder.

Step 4: Organizing Assets

AEM provides tools to organize your digital assets efficiently. You can create folders, add metadata, and apply tags to assets.

  • Right-click on the folder where you uploaded the image and select "Create" > "Folder" to create a new folder.

  • Name the folder appropriately, and you can also add metadata like a description or keywords.

  • You can drag and drop assets into this folder to organize them.

Step 5: Editing and Previewing Assets

AEM allows you to edit and preview digital assets directly from the Asset Management Console.

  • Select an asset you want to edit.

  • Click the "Edit" button to open the asset in the editing interface. For images, you can crop, resize, and make other adjustments.

  • After editing, click "Save" to apply your changes.

  • You can also click "Preview" to see how the asset will look in the context of a web page.

Step 6: Versioning Assets

AEM allows you to maintain versions of digital assets. This can be useful for tracking changes and rolling back to previous versions if needed.

  • Select an asset in the Asset Management Console.

  • Click the "Version" button to create a new version of the asset.

  • You can then view and restore previous versions of the asset.

Step 7: Publishing Assets

To make assets available for use on your website, you need to publish them.

  • Select the asset you want to publish.

  • Click the "Publish" button. This will make the asset accessible to users on the live website.

Step 8: Searching for Assets

As your digital asset library grows, efficient searching becomes important.

  • Use the search bar in the Asset Management Console to search for assets based on keywords, tags, or metadata.

  • AEM will display search results matching your query.

Example:

Suppose you are managing digital assets for an e-commerce website. You upload a product image named "Product123.jpg" to the Asset Management Console. You create a folder named "Product Images" and move the image into this folder for better organization. You also add metadata like "Product Name," "Product ID," and "Category" to the image. After making these changes, you publish the image so it can be used on your website's product page.
